Department Information


Oversee event and stewardship functions for the Georgia Tech Library and Clough Undergraduate Learning Commons. Design, manage, and provide event management services for external clients and internal constituencies utilizing GT facilities to conduct training classes, conferences, meetings, academic events, and celebrations. Services provided include event consultation and planning and logistics, including, but not limited to, arranging for technology support, coordinating food arrangements, and attendee assistance. Events managed range in size and complexity from small to large and simple to complex.

This position will manage stewardship activities and foster positive relationships with donors, alumni, and campus partners. Responsible for setting employee goals, assessing performance, providing feedback, and making pay recommendations.

This position will also consistently interact with the Dean of the Library, Georgia Tech members of the cabinet and their offices, donors, alumni, faculty, staff, students, meeting space sales management, meeting organizers, technology support personnel, and vendors.

This position typically will advise and counsel: the Georgia Tech Library Dean, director of development, campus partners, meeting space sales management, meeting organizers, technology support personnel, and vendors. In addition, this position will supervise assigned event planning staff.

Job Summary


Provide event management services to support the unit initiatives, services, and strategic plan. Provide counsel to Georgia Tech clients and internal constituencies using Georgia Tech facilities. Provide leadership in event consultation and planning, arranging for technology support and training resources for internal and external peers and colleagues. Events managed range in size and complexity from moderate to large. Responsible for setting employee goals, assessing employee performance, and providing feedback

This position will interact on a regular basis with: Institute leadership, administrators, college deans, associate deans, event and meeting organizers, and vendors.

This position typically will advise and counsel: Internal and external stakeholders, high-profile and nationally recognized organizations, meeting organizers, department and unit-level event colleagues, and support personnel. This position will supervise: Assigned staff

Responsibilities


Job Duty 1 -
Create and implement efficient event management workflows/processes to ensure seamless coordination of unit services

Job Duty 2 -
Advise and monitor vendors, event sponsors, and contractors

Job Duty 3 -
Create and manage event policies and procedures for unit facilities

Job Duty 4 -
Recommend resources and delegate tasks based on client needs

Job Duty 5 -
Provide training and resources for unit- and department-level staff and faculty

Job Duty 6 -
Manage the coordination of access to conference rooms, classrooms, or event spaces. Coordinate with operational support departments for access to unit services

Job Duty 7 -
Confirm scope and intended outcomes and determine resources required for unit events to support unit and Institute goals

Job Duty 8 -
Manage event logistics, including catering requirements, facility set-up and availability, parking, security, audio-visual/entertainment, etc.

Job Duty 9 -
Manage and track event budgets/costs for catering and merchandise and maintain their associated reports

Job Duty 10 -
Perform other related duties as assigned

Required Qualifications


Educational Requirements
Bachelor's Degree in Hospitality, Business Management, Marketing, Communications, or related field or equivalent combination of education and experience

Other Required Qualifications
Certification, License or Permits:
Event Planning Specialist Certification (CEPS), Certified Association Executive ( CAE), and/or Certified Meeting Professional ( CMP)

Required Experience
Five to seven years job-related experience

Knowledge, Skills, & Abilities


ABILITIES
Ability to work during some weekend and evening activities

KNOWLEDGE
Working knowledge of events, volunteer, and budget management. Basic knowledge of AV set-up/design

SKILLS
Proficiencies in project management, logistics, customer service, and scheduling. The use of business-related computer applications and the ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment are required. Excellent written, oral communication, and interpersonal skills
