Position Highlights

University Animal Care at the University of Arizona is in search of a Accounting Assistant III. The Accounting Assistant III is responsible for providing day to day customer service and financial support to UAC and the research community we support. The successful candidate will have the ability to take on a range of financial assignments and must have strong attention to detail. Strong analytical thinking, efficient organization, effective writing/communication skills, and the ability to work independently as well as a member of a a team are essential.

UAC provides humane and appropriate animal care, ensuring that the highest standards are met so that each animal's well-being is attended to. This includes providing for the animals' daily needs for clean, safe housing and access to fresh food and water; the provision of necessary veterinary care; and the monitoring of the use of animals by principal investigators and their personnel. We provide services and resources needed by investigators to accomplish their research objectives and provide training in laboratory animal care and use to technical personnel, students, and faculty. Our staff, through contacts with the media and the public, works to enhance understanding and support for the humane use of animals in research and teaching programs at the University of Arizona.

Duties & Responsibilities

Duties & Responsibilities:


  • Reconciles a high-volume of business transactions (p-card purchases, purchase order requisitions, travel, disbursement vouchers, internal billing, and cash receipts) with accuracy, completeness, and in compliance with University policies and procedures.
  • Review and send invoices for billing to FSO; match packing slips, invoices, and animal orders for billing process.
  • Ensures transactions are appropriately coded, investigates discrepancies and identifies solutions.
  • Monitors transactions to ensure cost savings and inventory levels are maintained and suggest alternative
  • Process financial documents in UAccess Financials. This includes Internal Billing, General Error Correction, Cash Receipt, Disbursement Vouchers, and Distribution of Income and Expense documents.
  • Receive, log, process and coordinate transport of checks.
  • Review and process animal purchase invoices, ensuring proper coding, taxes and shipping are applied.
  • Prepare the animal procurement upload documents for month end processing.
  • Develop and oversee inventory tracking system for recharge and fiscal year end purposes.
  • Lead fiscal year end inventory processes.
  • Mentor individuals in lower level positions in the day to day department business processes.
  • Provide excellent customer service to internal and external customers.
  • Provide backup for Business Operations Assistant.
  • Provide administrative support as needed.
  • Help create and maintain an office culture of responsiveness, service, organization, communication, teamwork, and professional development.
  • Other duties may be assigned.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience and a minimum of 5 years of relevant experience required.

Preferred Qualifications
  • Experience with University systems such as UAccess Financials and Analytics.
  • Experience with iLab and/or Cayuse information systems.
