Job Description:
This Associate Procurement Specialist position will report into the Manager, Procurement Concierge. This person will be responsible for facilitating several aspects of the procurement process by conducting project intake calls, collaborating with procurement teams, initiating supplier onboarding, routing contracts for signature, monitoring project aging reports and providing a high level of internal and external customer support. They will serve as the first point of contact to the Global Procurement Office; striving to provide outstanding customer service in every interaction.
Responsibilities:
Knowledge of client's Source to Pay processes and Procurement systems
Follow, incorporate, and improve upon multiple desktop procedures to ensure quality and consistency.
Conduct project intake calls, ensuring all necessary information is captured accurately in client Stategic Sourcing (procurement system), finding any opportunity to provide training and process clarity where necessary
Initiate onboarding with new suppliers, review information for completion and create supplier account within client.
Facilitate routing contracts for signature. Create supplier and contract records in contract repository and track them to completion.
Monitor project aging reports, identifying those which are at risk to exceed SLAs, and following up with collaborators to promote progress.
Assess the training needs of internal customers, support training team in developing and enhancing training materials in support of delivering effective training programs.
Build strong and productive working relationships with team members and business partners.
Requirements:
Experience in Procurement, Operations or business-related fields.
Customer service experience. Help desk experience is a plus.
Knowledge of the Source to Pay processes.
Excellent communication and interpersonal skills.
Strong planning, organizational and time management skills
Ability to multi-task with the agility to change direction quickly and often.
Detail oriented with strong analytical and problem-solving skills. Proactive, result oriented, with a can-do attitude in meeting critical deadlines.
Dedicated, able to work independently while staying connecting with the greater team.
