This is a key role in a fast-growing law firm founded by a forward-thinking enterprising lawyer. We work to prevent property owners, businesses, and injured people from being taken advantage of by insurance companies.

The ideal candidate must have good organizational skills, strong written and verbal communication skills, engaging people skills, high attention to detail, a positive attitude, and a polished, professional demeanor, both in person and on the phone. Bilingual candidates are preferred. This position will allow for growth into more senior positions and responsibilities depending on the skills and goals of the candidate. The ideal candidate Must be able to take initiative and ownership of work that needs to be done and be able to complete tasks with minimal supervision.

This will be an hourly, full-time position.

Education & Experience
The candidate should have a high school diploma, but advanced training at a college or university is preferred.

The candidate should have prior experience in a law firm. Legal secretarial experience is preferred, but candidates with experience as a file clerk, receptionist, or project assistant will also be considered.

This important position involves administrative duties related to reception, customer service, client intake, client retention, and direct attorney support.

Previous experience as an assistant in a professional setting is required. Legal experience is a plus.

We need you full-time, so you Must be able to work *in the office* for 40 hours per week. There is an opportunity for bonus compensation for outstanding performance and meeting established goals and milestones.

Compensation:

$17.5 - $25 hourly

Responsibilities:

Client Focused Tasks

  • Answers the phone, greets visitors, and interacts with clients to build relationships with them by phone, email, and in person
  • Interacts with the courts and administrative agencies regarding hearings, motions, and other appearances, becoming the courts’ primary point of contact with the firm for all administrative and scheduling issues
  • Prepare, send out, and follow up regarding medical records requests

Attorney Focused Tasks

  • Maintains attorneys’ calendars and the Firm Master Calendar, ensuring calendars are accurate and organized in a logical and efficient manner
  • Messages are taken and included in the firm’s client Clio file contemporaneously
  • Responded to if appropriate
  • Return calls scheduled if needed
  • Manages the mail for assigned attorneys
  • Manages and sorts attorney emails
  • Prepares and sends legal correspondence as directed by attorneys and paralegals
  • Organizes the attorneys’ files, keeping paperwork and electronic filing updated
  • Ensures attorneys have all the relevant materials needed for meetings or court hearings
  • Prepare vendor spreadsheets and overviews
  • Prepare pipeline reports
  • Interact with potential vendors and clients through Cleverly
  • Manage Dues and Expenses relating to courts and professional organizations
  • Manage inputting CLE credits for attorneys

Administrative Tasks

  • Make copies/scan documents
  • Input
  • Manage Firm Eservice email and circulate to the team
  • Back-up to Intake/Paralegals/Case Managers
  • Schedule hearings with courts within 24 hours of the request

Qualifications:

You must have experience with

  • Answering phones, asking questions to get to the root of the problem
  • Customer service and client care
  • Managing multiple calendars and keeping schedules for more than one person
  • Task management, tracking deadlines
  • Receives, logs, and routes mail, deliveries, and packages
  • Following written instructions and checklists
  • Managing the lobby and conference rooms
  • Copying, scanning, filing (physical and electronic filing)
  • Data entry using common web-based formats
  • Word processing (using MS Word)
  • Tracking with MS Excel spreadsheets
  • Email (using Outlook)
  • Organizing and triaging the owner’s email
  • Familiar with legal case management systems
  • Basic filing and document management using Dropbox or similar
  • Basic internet searches for common information (ability to find locations, maps, contact information, etc.)
  • Using basic office equipment (desktop computer, laptop computer, desk scanner, copy machine, multiline phone, FAX, postage meter)
