GB Ltd. Oper. Co., Inc. is a property management firm located in Freehold, NJ. We manage commercial and residential real estate throughout New Jersey. Our portfolio includes shopping centers, office buildings and residential condominiums and apartments - over one million square feet!

Busy real estate management company in Freehold, NJ is seeking an administrative assistant to support our office team and executive management team. This is a great opportunity for anyone who is a highly organized self-starter.

Educational Requirements/Experience:

· Candidate must have a minimum of 5 years administrative experience.

· Must have working knowledge of Microsoft Office (Excel & Word).

· Knowledge of commercial real estate a plus.

· Knowledge of bookkeeping software (QuickBooks) a plus.

Required Skills:

· Excellent written and verbal communication skills.

· Excellent organizational skills.

· Ability to work independently and in a team environment.

· Ability to effectively execute assignments and meet stringent deadlines.

· Must be able to multi-task and prioritize a wide range of responsibilities.

· Must have outstanding follow up and follow through, and be detail oriented.

· Ability to keep information strictly confidential.

· Friendly and cheerful demeanor.

Responsibilities include, but are not limited to:

· In-office administrative duties for the management team, in-house counsel, property management staff, and real estate Broker.

· General administrative support for the office team and President/family, such as:

  • Screening and answering calls – direct to appropriate team member.
  • Reviewing timesheets – enter into timekeeping software.
  • Maintaining various files and paperwork.
  • Scanning of documentation for record-keeping and manage and maintain archiving system.
  • Scheduling appointments and meetings.
  • Contacting tenants and/or vendors as needed.
  • Prepare correspondence to tenants, vendors and others.
  • Receive all tenant requests, log and dispatch any complaints to Superintendent or others as necessary. Promptly follow up with tenants.
  • Sorting and distributing mail and correspondence.
  • Traveling to banks for deposits/transactions as necessary.
  • Managing company advertising and donations.
  • Managing supply closet and refreshments.
  • Special projects as assigned.
  • Work with bookkeeper and brokers regarding leasing of/leased properties.
  • Manage insurance for automobiles, personal and homes for President/family.
  • Record-keeping for President/family.
