Position Highlights
Occupational Health at the University of Arizona is in search of a Medical Assistant II. This position provides general medical assistant and administrative functions for new and expanding Occupational Health department services. This includes recording vital signs and medical histories, preparing patients for visits, drawing blood, and administering immunizations as directed by health care provider; scheduling appointments and maintaining medical records; performing a variety of administrative duties including document preparation, scheduling, meeting coordination, record keeping, supply inventory, and data entry. This position will report to the Occupational Health Medical Director.

Duties & Responsibilities

Duties & responsibilities:

  • Records vital signs and medical histories, prepares patients for examination, draws blood, and administers immunizations as directed by health care provider. Works with health care providers to assess and provide patient care.
  • Schedules appointments and maintains medical records, billing, and coding information. Receives patient care notes, imaging, and diagnostics from outside referral services and routes these to nursing and advanced practice providers for review. Scans and uploads these items to integrate data to patient's electronic medical record for maintenance and reference. Prepares and maintains accurate patient records in Point n Click (PNC) electronic medical record associated with any documents, scheduling, or services.
  • Monitors Occupational Health Support email and phone line, responding to inquiries about OH programs and procedures offered, patient questions about services, needs, and scheduling inquiries/options, otherwise directing inquiries to appropriate staff and departments when necessary.
  • Schedules patient appointments and services. Provides information requiring comprehensive knowledge of program services, policies, and procedures.
  • Preparation of patient registration forms including general consents for treatment, patient rights and responsibilities, and notice of privacy practices, vaccine consent forms, or vaccine declinations forms.
  • Manages patient check-in process and preparation of patient for appointment, including issuing temperature checks and COVID-19 screening questionnaires.
  • Helps to manage and maintain inventory of general supplies for OH Clinic which may include both office supplies, equipment, and clinic items for patient care.
  • Assists with basic maintenance of routine office and clinic equipment, sanitizing, and requesting for calibration or servicing as needed.
  • Coordinates request for waste management pick-up for proper disposal of sharps.
  • May assist in the coordination or receipt of shipments and orders for OH, especially items that are temperature sensitive.
  • Provides administrative support with document maintenance, formatting, and edits for material office pamphlets and other educational materials related to services. Re-stocks documents for office and clinic use routinely.
  • Creates business card templates for all OH employees, proofing and assisting with ordering in bulk from West Press and identification badges for employees.
  • Assists with maintenance of staff calendars, schedules meetings, and may assist with generating meeting minutes.
  • Additional duties may be assigned.

Knowledge, skills, & abilities:

  • Able to work with diverse populations.
  • Proficient in Microsoft Office.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Clinical certification and/or licensure required and a minimum of 3 years of relevant experience required.

Preferred Qualifications
  • Previous clinical experience.
  • Previous experience with PNC preferred.
