Description of Work
Minimum Qualifications
Six years of clerical experience, at least two years of which must have been as a Clerk 3, Clerk-Typist 3 or equivalent.
General Statement of Duties
Perform highly skilled clerical and administrative work of a complex nature involving planning, organizing and producing work which requires judgment and specialized knowledge of a Senior High School; and performs related duties as required. (The incumbent shall be required to type with speed and accuracy at a level equivalent to a Clerk-Typist 3).
Supervision Received
Works under the general supervision of a Senior High School Principal or other unit supervisor.

Supervision Exercised

Exercises close technical or administrative supervision directly over lower level clerical employees.
Typical Duties Performed
  • The listed examples may not include all the duties performed by all positions in this class.
  • Interprets and communicates District and building policies, procedures, rules and regulations to school staff as appropriate; provides technical information regarding Senior High School operations; consults with a school administrator as to the proper disposition of difficult cases.
  • Word processes and/or types complex or technical materials which require independent judgment and ability to arrange, expand, segregate or tabulate data.
  • Writes letters; makes contacts, requests information, clarification or documentation; organizes, compiles and maintains records and files.
  • Maintains computerized time-records of school staff absences; verifies accuracy of time sheets; prepares payroll and related reports for principal's signature.
  • Maintains budgets; gathers data; performs complex calculations; analyzes data and prepares a variety of reports.
  • Supervises clerical staff; plans and assigns day-to-day work; reviews and approves work; provides feedback on performance; trains new employees; conducts periodic staff meetings; arranges for temporary clerical assistance as needed.
  • Coordinates the process of incoming and outgoing substitute teachers; prepares packet of information for substitute teachers; directs teachers to appropriate room; arranges in-house coverage for absent teachers when no substitute is available by assigning teachers to cover during their preparation period; assigns homebound teachers; maintains records relating to in-house coverage and homebound teachers.
  • Serves as central contact for school staff with walkie-talkies; dispatches staff to cover incidents when necessary, contacts 911 under direction of a principal; directs emergency personnel when they arrive at a building; maintains building key inventory.
  • Conducts studies of school office operations by applying standard technical analysis of work practices; develops and defines performance indicators for various operations; determines acceptable performance levels for clerical staff.
  • Conducts special studies regarding office organization, automation or related projects.
  • Writes reports which list alternatives for action relating to Senior High School office operations.
  • Assists in developing policy and procedures; prepares procedural manuals.
  • Reviews and edits reports to assure that they are clear and concise, properly organized, consistent with School District and internal policies, and suitable for dissemination.
  • Coordinates the dissemination of public information which calls upon an understanding of data privacy statutes; prepares fact sheets, presentations, and other necessary informational material.
  • Oversees student registration and pupil records; maintains student transcript information; coordinates the graduation process.

Knowledge, Skills, and Abilities

  • Thorough knowledge of modern office procedures, practices and policies.
  • Thorough knowledge of District and building policies, procedures rules and regulations.
  • Considerable knowledge of grammar, spelling and punctuation.
  • Working knowledge of bargaining unit agreements.
  • Considerable skill in operating a micro-computer, typewriter and computer terminal with speed and accuracy.
  • Considerable ability to relate to, and deal effectively with, students, parents, teachers, and other school personnel.
  • Considerable ability to communicate effectively, both orally and in writing.
  • Considerable ability to determine priorities, plan, organize, coordinate and carry out work program.
  • Considerable ability to make complex mathematical and statistical computations with speed and accuracy.

Pay,Benefits, & Work Schedule

This is a 11 month position working 40 hours per week.

Transcript - Unofficial transcripts are accepted at the time of hire. You must submit official transcripts within 30 days of your start date. Formal credential evaluation is required for post-secondary education completed outside of the United States.
