Provides administrative support for executive level leaders.

The Executive Assistant proactively anticipates needs to support a variety of administrative functions for an executive leader or team of executive leaders in a time sensitive, accurate, and confidential nature using discretion and professionalism.

Physical Requirements:

Work Schedule: Monday - Friday, some flexibility with hours between 8: 00 am - 5:00 pm; two (2) days per week (Thursday/Friday) remote in exception to 2nd Thursday of every month. Flexibility with schedule is required as needed for additional coverage. In office required for Monday - Wednesday.

Scope

As an Executive Assistant you need to know how to:

  • Promote mission, vision, and values of Intermountain Health, and abides by service behavior standards.

  • May be required to float to other departments (within scope of competency and qualifications) based on business need.

  • May be required to be placed on-call during a regularly scheduled shift.

  • Perform all responsibilities in a manner that is reflective of our mission and philosophy.

  • Is sensitive to the cultural differences among the children, families and staff and responds appropriately and sensitivity to those differences.

  • Conserve directors time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

  • Maintain directors appointment schedule, including day-to-day and long-term management of meetings, projects, and priorities. Set up teleconferences and make travel arrangements.

  • Represent the director by attending meetings in the directors absence; speaking for the director.

  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to all participants.

  • Ensure director is prepared for upcoming appointments by gathering materials necessary for each meeting.

  • Handle phone, email and postal mail inquiries and respond appropriately.

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

  • Maintain client confidence and protects operations by keeping information confidential.

  • Prepares reports by collecting and analyzing information.

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  • Record and transcribe minutes of meetings. Prepares and distributes minutes.

  • Reconcile directors credit card statements-

  • Develop and sustain a level of professionalism among staff and clients.

  • Ensure operation of badge system, card reader equipment, postage meter and laminating machine, order maintenance when necessary. Troubleshoot malfunction of these systems and/or hardware.

  • Interact with customers when appropriate and problem solve. Document complaints and develop an appropriate course of action. Report problems to executives when they cannot be resolved for attention.

  • Assist director with communications to and for Executive Board of Directors.

  • Point of contact regarding securing conference rooms and miscellaneous items for outside organizations who wish to use our facilities.

  • Performs other duties as assigned

Minimum Qualifications

  • Associates degree (A.A.) OR equivalent from two (2) year college or technical school and two (2) years of related administrative experience OR equivalent combination of education and experience, required.

  • Minimum of two (2) years of related administrative experience or equivalent combination of education and experience, required.

Preferred Qualifications

  • Previous healthcare experience highly preferred.

  • Experience in a fast-paced environment.

  • Ideal candidate will posses high-level and critical thinking skills.

  • Previous experience supporting multiple executives

The hourly range for this position is listed below. Actual hourly rate dependent upon experience.

$21.38 - $36.75
