Brunswick, Maine law firm is seeking a full-time File Intake Specialist. Basham & Scott is a steadily expanding law firm focusing on vehicle damage claims for rental car companies, subrogation claims for insurance carriers, and personal injury. Position Summary:

The File Intake Specialist is responsible for supporting the timely and accurate handling and processing of active claim files. The position helps gather essential information for active claims, compiles thorough and accurate documentation, works with and accurately manages information within legal database, and communicates tactfully and effectively with colleagues, attorneys, and other stakeholders.

Key Outcomes:

  • Receive and conduct detailed review of vehicle damage claim files for pertinent information and accuracy of claim documents
  • Accurately and efficiently enter claim file into database
  • Confirm correct calculation of damages
  • Contact insurance carriers to initiate claims
  • Prepare demand packages to insurance carriers for attorney review
  • Prepare demands to individuals for attorney review
  • Make initial contact with individuals for accident details, insurance information, payment plans, etc.
  • Conduct asset searches
  • Conduct research to locate contact information for individuals
  • Serve as a back up to reception desk for incoming calls

Education/Experience:

  • Paralegal/Legal Assistant Degree or Certificate preferred but not necessary, or at least one year of experience in an office setting or law firm.

Skills/Knowledge/Competencies (Behaviors):

  • Proficient typist and experienced in the use of Word, WordPerfect, Excel and Outlook (prior database experience helpful but not required)
  • Must have the aptitude and ability to learn a new database specific to the legal industry
  • Ability to multi-task, prioritize, organize and efficiently handle a high volume workload
  • Willing to support others and work collaboratively across the organization
  • Ability to interface with multiple levels, including attorneys and peers
  • Readily adaptable to new/different/challenging assignments to meet business needs
  • Proven problem solving/critical thinking
  • Ability to communicate technical information in a clear and succinct manner
  • Ability to work independently for long stretches of time
  • Must be extremely reliable

Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Ability to pass a background check
