Kleinfelder’s Austin office is hiring an Administrative Specialist/Dispatcher to join our team! Our opportunity will provide the qualified applicant with a fulfilling career opportunity where you play a vital role in the success of the team.

PREFERENCE WILL BE GIVEN TO THOSE WITH EXPERIENCE IN CONSTRUCTION SERVICES

We are looking for a highly motivated, organized individual who can provide excellent customer service and assist in delivering on internal and external client requests in a fast-paced environment. The individual must demonstrate a working understanding of our business and be able to assist in facilitating the group’s objectives.

General Job Duties:

  • Schedule and Dispatch technicians to appropriate job sites based on proximity, skill level, certification and more
  • Daily communication with contractors and project managers
  • Daily creation, distribution, and maintenance of dispatch log
  • Maintain files of project information electronically such as Master Service Agreements, Work Orders, change orders and project instructions
  • Word Processing, including field report check in, editing and submittal to clients
  • Assist in operational management, maintenance management, security, and IT management
  • Managing kitchen/breakroom/production cleanliness and stock
  • Various administrative duties as assigned

Critical competencies required for this position include:

  • Microsoft Office suite proficient
  • Must have strong written and oral communication skills
  • Ability to manage multiple tasks with interruptions
  • Experience working in a deadline driven environment
  • Experience in proactively assessing the needs of those being supported
  • Capability to make decisions within guidelines

Experience: 1-2 years of related experience

Education: High school diploma or equivalent required.

Computer Skills:

Advanced knowledge of MS Office including Word, Excel and PowerPoint required. Deltek database knowledge preferred.

This position may require work on projects requiring full vaccination from COVID-19. If that is the case, you will be required to show proof of vaccination or an acceptable exemption in order to work on the project.
