Salary range: $65,000 to $75,000 Annually

POSITION SUMMARY:
The Accounts Payable Associate position is responsible, under the guidance of the Accounting and Payroll Operations Manager for the weekly process of accounts payable in Concur and the transmission of the data into MIP. This position provides concur technical support and assistance on payment status to employees across the organization.

REPORTING RELATIONSHIPS:
This position will report directly to the Accounting and Payroll Operations Manager and will collaborate with other accounting and finance staff.

ESSENTIAL FUNCTIONS:

Accounts Payable:

  • Responsible for the weekly accounts payables process including receiving, reviewing and enter accounts payable invoices in Concur in a timely manner.
  • Work with others to ensure accuracy, proper coding and appropriate approvals for weekly AP run
  • Provide training and technical support to employees in the use of Concur invoicing platform and process.
    Maintain and update Concur invoicing platform and process including adding and updating vendors and ACH information, GL code, cost centers and maintaining users accounts
  • Upload weekly A/P check run to disbursement bank for positive pay process and resolve suspended items
  • Perform research and analysis on payments and historical spending as requested
  • Work closely with other staff and vendors and actively respond to inquiries from LIIF employees and outside customers Follow-up/research and resolve vendor issues
  • Follow up on ACH rejections. Resolve rejection issues and reissuance.
  • Import expense and payment data from Concur into MIP
  • Ensure proper 1099 maintenance and prepare 1099 and other relates tax annual fillings. Respond to IRS notifications regarding 1099 matters and ensure compliance with IRS instructions regarding 1099s
  • Prepare monthly journal entries for wire and ACH transactions, expense accruals, prepaid amortization, and other LIIF monthly closing tasks as requested
  • Perform month-end reconciliation of A/P subsidiary ledger to G/L, ensuring uncashed checks are appropriately addressed timely
  • Prepare audit schedules related to Accounts Payable, monitor expiration dates of contracts, budget limits and ensure disbursements are in compliance with applicable consulting agreement, service contract or grant agreement
  • Work closely with internal control auditors on A/P processes
  • Prepare schedules for 990 consultant compensation
  • Respond to internal and external inquiries timely, accurately, and courteously
  • Reconcile statements and research exceptions on a monthly basis
  • Prepare accruals for year end close procedures
  • Ensure month end close (expenses) along with collaborating with billing department for accurate vouchering.
  • Communicate accurately and effectively with all stakeholders.
  • Ensure all expense reconciliations are timely processed and approved by deadlines. Communicate delays to senior team and executive team.

Other Functions:

  • Perform other duties/special projects as assigned
  • The Accounts Payable Associate may perform other duties as necessary to support the Finance team
  • Ad Hoc reports and inquiries

SKILLS REQUIRED:

  • Must be PC proficient and able to thrive in a fast-pace setting. Experience with Concur Invoicing and Abila MIP system is a plus.
  • Strong experience with Excel, and Microsoft Outlook
  • High attention to accuracy and details
  • Ability to meet assigned deadlines
  • Ability to review and self-check work for accuracy and completeness
  • High degree of customer service
  • Excellent communication skills, verbal and written.
  • Must be proactive and work independently

EDUCATIONAL AND OTHER REQUIREMENTS:
A Bachelor's Degree in accounting or equivalent experience is required. This position requires a minimum of two years of experience in Accounts Payable and other entry level accounting entries. The position is demanding and requires self-motivation and a team approach. Individual will be committed to LIIF’s mission.
