General Description
Under the direction of an assigned supervisor, perform complex accounting clerical duties involving the maintenance of assigned accounts and financial records; generate, reconcile and maintain accounts and assigned budgeted allocations.
This is a Full-Time 12 month position, 7:45 a.m. - 4:45 p.m. Initial placement is at $46,883.

Job Duties
Job duties of the Accounting Assistant include:
- Post, assemble, tabulate and reconcile a variety of financial and statistical data in the maintenance of assigned accounting functions; verify, balance and adjust assigned accounts.
- Prepare, generate or check warrants, invoices, requisitions, purchase orders and similar documents; distribute as appropriate; assure compliance with proper financial controls and practices are maintained.
- Process documents involved in financial transactions, such as purchase orders, requisitions and invoices.
- Prepare and maintain a variety of financial or statistical records, files and reports; obtain and provide information from records and files as requested.
- Type a variety of materials, such as checks, purchase orders, requisitions and reports as required; operate a variety of office machines.
- Prepare student employment packets and distribute to various District departments; receive and review packets for accuracy; receive time sheets, calculate and input related information into the County system as required.
- Resolve problems and discrepancies related to assigned accounting functions; provide information and assistance regarding accounting related matters to employees, students, vendors and the public.
- Operate a computer terminal to enter financial information, verify input to assure accuracy; operate related point-of-sale and spreadsheet software applications.
- Collect, count and verify monies; prepare bank deposits; maintain records of cash transaction and receipts; monitor and reconcile sales transactions.
- Post, input and prepare reports for part-time and student employee's attendance, hours and days worked; verify employment for employees as assigned.
- Maintain journal accounts; balance, check and correct irregularities.
- Assist office staff as needed to assure the timely and efficient operation.
- Perform clerical duties, such as typing and filing, as required; order and maintain various office and related supplies for assigned program or function.
- Process, prepare and file a variety of documents, forms, letters, credit memos, cash refunds and listings.
- Utilize the District's integrated software in performing the required duties of the position.
- Perform related duties as assigned.
Qualifications
Minimum Qualifications
(Education & Experience):
Any combination equivalent to: graduation from high school including or supplemented by courses in financial record-keeping and two years of increasingly responsible experience in preparation and maintenance of financial accounts and records.
Knowledge and Abilities
Knowledge of:
- Accounting practices and procedures.
- Modern office practices, procedures and equipment.
- District organization, operations, policies and objectives.
- Oral and written communications skills.
- Applicable sections of State Education Code and other federal, State, County and District laws, policies, rules and regulations.
- Record-keeping techniques.
- Interpersonal skills using tact, patience and courtesy.
Ability to:
- Apply financial record-keeping principles to the maintenance of complex fiscal and accounting records.
- Perform clerical work of the above average difficulty.
- Inspect and review financial records.
- Make arithmetic computations and tabulations with speed and accuracy.
- Maintain accurate financial and statistical records.
- Operate standard office machines such as typewriter, calculator and computer terminal.
- Learn office policies, rules and practices.
- Understand and follow oral and written directions.
- Type at 35 words net per minute from clear copy.
- Meet schedules and time lines.
- Maintain records and prepare reports.
- Communicate effectively both orally and in writing.
- Establish and maintain cooperative and effective working relationships with others.
